Specialist, Facilities and Office Services (Soft Services)

We are looking for a highly organized and proactive Specialist, Facilities and Office Services (Soft Services), responsible for overseeing and optimizing the daily soft services operations of our office environment in Cayalá, Guatemala. This key role ensures our workplace is efficient, well-maintained, and conducive to productivity, while delivering the highest standards of quality and client satisfaction.

Key Responsibilities
High-Level Responsibilities:
Support: Provide resources, training, and guidance to ensure the office’s soft services are consistently effective and efficient.
Guide: Identify opportunities for improvement, reinforce strengths, and ensure service delivery aligns with company standards.
Track: Monitor and assess the quality of soft services, taking corrective action when performance or compliance issues arise.
Specific Responsibilities:
Vendor & Stakeholder Management: Build and maintain strong relationships with external service providers and internal clients; oversee vendor schedules, compliance, and performance reviews.
Office Soft Services Oversight: Supervise cleaning, pantry, waste management, and transportation/shuttle services to guarantee a clean, safe, and functional workplace.
Inventory & Procurement: Manage and track inventories of office supplies and consumables; prepare purchase requisitions and ensure timely procurement.
Housekeeping Standards: Ensure high levels of cleanliness and orderliness throughout office spaces.
Documentation & Filing: Organize and maintain accurate records and files related to soft services for compliance and accessibility.
Customer Service: Provide excellent service to employees and stakeholders, responding quickly to concerns and ensuring satisfaction.
Financial Support: Assist in creating budgets, forecasting expenses, and ensuring invoices are accurate and processed on time in collaboration with Finance.
Reporting & Analysis: Prepare detailed reports on soft service operations, identify improvement areas, and implement proactive solutions.
Inspections & Compliance: Conduct regular inspections of cleaning, catering, and security services to ensure compliance with standards and protocols.
Policy Development: Support the creation and implementation of policies and procedures for soft services to ensure consistency and quality.
Collaboration: Work closely with other departments to ensure seamless integration of facilities soft services into overall operations.

Education & Experience Requirements
Educational Background: Bachelor’s degree in Facilities Management, Business Administration, or a related field.
Professional Experience:
3–5+ years in facilities operations, with a focus on soft services.
Experience in vendor management, service quality oversight, and on-site operations.
Certifications (Preferred): Facility Management or related certifications are a plus.
