An administrative coordinator is responsible for administrative and basic project management related duties while understanding the business context and environment of superiors. The Administrative Assistant (Virtual Assistant) provides comprehensive and high-level administrative support to executives, ensuring seamless coordination of daily operations. This role requires strong organizational capabilities, meticulous attention to detail, and the ability to proactively manage tasks in a dynamic and fast-paced environment.
Responsibilities:
- Manage and maintain complex executive calendars, including scheduling, prioritization, and conflict resolution.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation logistics.
- Prepare, review, and reconcile expense reports with accuracy and compliance.
- Coordinate meetings and events, including room reservations, executive coordination, and catering arrangements.
- Develop and format PowerPoint presentations and support document preparation.
- Transcribe meeting notes, distribute follow-ups, and maintain organized records.
- Perform procurement and purchasing tasks as needed.
- Prepare basic Excel reports and maintain relevant documentation.
- Serve as a liaison between executives and internal or external stakeholders in a professional manner.
- Execute ad-hoc administrative tasks and special projects as assigned.
Qualifications:
- Graduate with minimum 1-2 years of experience as an administrative support resource
- Understanding of office administration
- Fluent English communication skills (Oral, Written & Presentation)
- Exceptional time management and prioritization skills.
- Strong attention to detail, accuracy, and accountability.
